The Outpost can take on as little or as much of your event as you require. The Outpost is part of the Senior Management Team for some of the largest festivals in Australia. Promoters are able to engage us in one more of the following roles.
Stakeholder/Council Communications and Compliance
An increasingly important aspect of Event Management these days is compliance, documentation and stakeholder liaison. The Outpost is able to write your Event Management Plans, Operation Strategies, submit tenders and address Development Applications. The Outpost can work with Council and Stakeholder during the planning stage as well as onsite during the event and debriefing post event. The Outpost will collect and manage your compliance documentation.
Site Coordinator
The Outpost can become the focal point for all departments on site and have an overview of the all aspects of the event. The Outpost can facilitate communications between departments, create accreditation systems, distribute accreditation, deploy suppliers to various departments and create signage. We will manage your site office – the hub of the event. This includes managing office staff, managing the noise complaint hotline, assisting Promoters, coordinating Stakeholders and handling enquiries from patrons. We can also create signage if required, create OH&S site rules, distribute OH&S documents, collect plant licenses, and other compliance documents.
Artist/Speaker Liaison Manager
Dealing with artist or speaker requirements can be challenging. Understanding their contracts and balancing their demands with the broader goals of the event is important. The Outpost will liaise with your VIPs prior to the event, create an inviting environment for them at the event, ensure their catering requests are met, coordinate transport, direct them around the site for performances, signings or interviews, provide accreditation and manage guest lists.
Catering Manager
Another time consuming role that The Outpost will take off your plate! Staff and artist catering entail the selection of one or more caterers depending on the budget and the number and type of meals required. The menus vary from fine dining for artists to packaged meals for crew.
Food and Markets Stalls Manager
Food and market stalls add to any event but they can be tricky to manage. For that reason, many promoters leave that task to The Outpost. Using the online database, vendors are selected and recruited from around Australia to suit each particular event. Their menu, operating experience, financial viability and appearance of the stall all play a part in their desirability. The Outpost has developed a large database of vendors over the years as well as forms, agreements and systems to make collecting the appropriate information and documentation streamlined. We understand food safety standards and work with local Councils on your behalf to ensure safe operation.
On site we can manage their load in, load out and operation with a close eye on safety and food hygiene. Alternatively, we can recruit the stalls for you, manage their documentation and fees and you can liaise with them on-site.
